The candidate chosen for this position, YES PROGRAM ASSISTANT will be responsible for processing data for new enrollment on internal and external databases, for queries, and reporting.

Position Description

Supports agency’s workforce development department with data entry and file maintenance.  Maintains participant data and generates reports for internal and external users.  Supports Program Director, Program Service Specialist and Career Pathways Specialist with administrative tasks.  Reports to Program Director.

Position will require 12 to 15 hours a week at a rate of $30.00 per hour, with the perk of being able to work from home but will be required to come in the office at least once a week.


All candidates must possess extensive data entry computer expertise with an ability to build solid databases in Excel. This job emphasizes predictable efficiency and relies heavily on written communication. Applicant must be focused and able to meet the high degree of challenges.

  • Daily operation and management of the YES database and external (funder) database; enter and maintain participant data
  • Communicates regularly with program director, program service specialist, career pathways specialist and external program contacts about data collection needs; provides both internal and external customer service and follows through on data collection to maintain up-to-date records
  • Maintain hardcopy of participants files; creates, updates and archives files as needed
  • Performs queries and produces both site specific and aggregate reports on monthly, quarterly and annual basis
  • Provide support to program services specialist, career pathways specialist and the program director during off-site file audits; visit sites to collect or deliver documentation as required
  • Oversee the design, creation and maintenance of forms or data collection tools; interface with web administrator where relevant
  • Analysis and forecast extracted program data
  • Broad knowledge and experience in: data entry, data management,
  • Above average skills in: Microsoft Office, especially Excel; data entry and keyboarding; maintaining confidentiality
  • Excellent skills in: attention to detail; interpreting appropriateness of documentation submitted for data entry; organizational skills; analytical skills
  • Demonstrated ability to: apply quantitative skills; provide technical assistance; multi-task in a fast-paced setting, especially during peak data entry cycles
  • Experience in: non-profit setting; fast-paced, high-demand environment
  • High School Diploma/GED Equivalency
  • Years of experience: 3-5 years of data entry and records maintenance
